Vendor needs to provide outreach services
- The selected vendor will provide services to community members to inform them of the
Accessibility of benefits, the program’s application process and requirements, and
will assist families with their applications including supporting their use of the online application.
1. Target Outreach Population
a. The target group for outreach activities are low-income families who are potentially eligible for agency and are not enrolled in the program. Targeted families will be of all age groups, may be limited or non-English speaking, and are culturally diverse.
2. Outreach and Marketing
a. The vendor(s) will develop a plan to outreach to and inform all potentially eligible families about the availability of agency benefits and the application process. The vendor(s) will utilize proven outreach strategies and develop culturally appropriate and language appropriate marketing materials to motivate and encourage potentially eligible families to apply for agency benefits.
b. Outreach activities will include but are not limited to distribution of agency brochures and other informational materials at community events, community fairs, and other venues focused on serving low-income families. The literature should educate and inform the community of the benefits provided by the agency program, increase awareness of the program, and provide information about where and how to apply for agency benefits.
c. Outreach and marketing materials must address all targeted groups (e.g., diverse cultures, limited or non-English speaking/reading individuals, etc.).
d. The vendor(s) will utilize agency participants, referred by the County, to perform agency outreach activities.
- Responsive potential clients:
i. Approximately ten days after application submission, the vendor(s) will call the client to follow up and encourage the client to continue the application process. The follow-up call will verify that the client has been contacted by the agency to schedule an interview and confirm the date of the client’s interview. If the client has not attended the interview, the vendor(s) will encourage the client’s attendance. If the client has attended the interview and was informed that additional documents are needed to determine program eligibility, the vendor(s) will remind the client to submit the missing documents by the due date and assist the client with gathering the required documents.
